A Transaction Coordinator ensures that every aspect of a real estate transaction runs smoothly, allowing agents to focus on generating business and serving clients. Listed to the right are some of the tasks handled by us on your behalf.

Receipt of Contract

  • Review bilateral contract for all signatures,initials,addendums and disclosures

  • Introduction email to all parties with copies of pertinent documents

  • Assist in coordinating the depositing of Earnest Money Deposit with selected Title/Escrow Company

  • Create and maintain a detailed transaction timeline.​

  • Obtain correct contact information for customer(s)

During the Contract Period

  • Monitor deadlines for contingencies such as inspections, appraisals, and financing.

  • Communicate with all parties, including agents, customers, lenders, and title companies.

  • Facilitate the scheduling of inspections, appraisals, and walkthroughs (if required).

  • Draft addenda per agent direction (final approval required)

  • Coordinate the collection of required documents (e.g., HOA docs, proof of insurance, etc.).​

Client Communication

  • Provide regular updates to buyers, sellers, and agents on transaction progress.

  • Answer questions from customers regarding the status of the transaction or required documents.

  • Resolve minor issues related to missing documents or unclear instructions.

Closing Preparation

  • Ensure the title/escrow company has all necessary documentation for closing.

  • Confirm closing dates, locations, and times with all parties.

  • Coordinate the final walkthrough and verify all items from the contract have been addressed.

  • Review the Closing Disclosure (CD) for accuracy and ensure approval from agent.

Post-Closing Tasks

  • Verify that all required documents are signed and submitted to the appropriate parties.

  • Update the transaction status in the system as "closed." (Not the MLS)

  • Deliver the final closing package to the client and agents.

  • Follow up with agents for post-closing surveys or testimonials, if applicable.

Agent Responsibilities

  • Maintain All MLS Data, Rules & Regulations

  • Advise and Review all addendas

  • Negotiate repairs or any changes in the contract. 

  • Review Preliminary Title Report

  • Review Important Timelines provided by TC

  • Review all inspection reports and advise TC

  • Advise your client throughout the transaction

  • Complete Agent Visual Inspection (AVID)

  • Review any and all correspondence between all parties
